Job Introduction:

Vacancy: Easy Roster Administrator  

 G4S Secure Solutions (SA), a leading global integrated security solutions company has a permanent vacancy for an Easy Roster Administrator in Bellville Cape Town.

Reporting to the Finance Manager and operationally to the General Manager in operations, the main responsibility of the Easy Roster Administrator is to provide an effective supervisor and team administrative service in relation to effective cost labour management, sound financial analysis in utilizing easy roster trends & reports keeping to deadlines and system maintenance.

The successful incumbent is a self starter with a proven track record in delivering on financial expectations, to ensure accurate & timeous processing of time and attendance, rostering, sick leave and AWOL hours management on the Easy Roster system in compliance to company policies and procedures. 

Role Responsibility:

Effective Labour Management, Supervision and administration of site customer database

  • Create and maintain accurate time and attendance systems on efficient scheduling / rostering, time management (present, AWOL, Sick, Leave) of all contractual and ad hoc / sundry perm on the Easy Roster database.
  • Create and maintain weekly rosters and sign off in each wages cycle for all Customer sites on the Easy Roster system, ensuring the provision of manpower in compliance with contractual requirements and the wage model.
  • Responsible for the site requirements, contract price and Margins on easy roster and that this balances back to the Contract register. 
  • Create new sites and site bin maintenance of all requirements ensuring accurate ops control and communication.
  • Responsible for HQ bins with GM’s, RD with HR Manager for surplus staff, maternity leave, sick incapacity matters.
  • Responsible for Labour Management and Daily pro-active reporting and Analysis with GM’s on manpower activities to minimize inefficiencies.
  • In cooperation with the HR Department maintain accurate employee records on the Easy Roster database.
  • Check pay points and ops areas in ER.

Effective administration of Time and Attendance system

  • In cooperation with Operational Management, schedule employees on site rosters to ensure the provision of contractual manpower requirements.
  • Coordinate the activities of the region’s Easyroster controllers (where applicable), in order to ensure the accurate capture of actual attendance and absence of employees recorded on daily posting sheets.
  • Provide Operational Management with the required exception reports of all anomalies on a daily, weekly and monthly basis  and drive results in the weekly labour meeting.
  • Reconciling and reporting on Over postings and Sundry guarding monitoring,
  1. Compile reports on Personnel Requirements, allocation, scheduling and  Attendance:
  2. Actual postings check to ensure accuracy.
  3. GM’s HQ Bin actual postings, leave, time and attendance - difficulty to assign responsibility grey area.
  4. Check and oversee corrections of Double Actual reports .
  5. Daily exception reports to management daily.
  6. Check, communicate and report if necessary to ensure/prevent that no over and under postings occur.
  7. Inspect roster changes to minimize non productive and overtime hours.
  8. Monitor Suspension shifts and escalate where necessary.
  9. Follow up on Weekly and Bi Weekly reports from HQ and report back.
  10. Labour Management of overtime and non productive by communicating with the Operations Managers.
  11. Check and report/communicate with GM’s and relevant Ops Managers, HR Manager and FM if Leave compliment is not in line.
  12. Weekly Site attendance registers check to input done on Easy Roster. 
  • Investigate and validate pay queries received from Operational Management, submitting processed and balanced pay queries to the GM’s and Financial Manager for approval. (Provide written feedback memorandum to relevant employee).
  • Work in conjunction with GM’s and FM (where required) on the Actual vs contractual manpower during manpower meetings.

Payroll data administration

  • Export the correct rostered  hours worked to the payroll for payment within specified deadlines and time frame
  1. Cost Centre’s on VIP
  2. Input Template to HQ at PQ run and Month end
  3. Check and correct the Provisional Earnings Analysis from HQ with corrections as required at month end. The GM’s and FM and RD authorize Final Earnings Analysis.
  4. Comparison of hours before importing hours into payroll is being done.
  • Balancing and comparison of hours imported to the payroll.
  • Timeous administration and printing of monthly wages pay slips.
  • Efficient control on the Wage Cost by keeping costs to a minimum, as guided by Regional FM.

The Ideal Candidate:

Min qualifications and experience

  • Matric / Grade 12
  • Tertiary qualification advantageous
  • Financial instruments and payroll system experience
  • Intermediate to Advanced Excel experience for financial analysis and report writing
  • 2-3 Yrs Easy Roster system experience / training certification
  • Previous experience as a roster clerk / administrator

Knowledge 

  • Knowledge of easy roster
  • Knowledge of company policies and procedures
  • Knowledge of wage and labour management procedures 
  • Excel pivot tables, statistical and math analytical experience
