Job Introduction:

The successful incumbent is a self-starter with a proven track record in development and implementation of  fleet strategy , policy, adopting best practices, and is able to exercise sound judgement in the pursuit of the achievement of the goals of the organisation, and understanding the role which Security plays within a successful business unit. The incumbent will be expected to be results driven and to live the values of the organisation.

Role Responsibility:

Development and implementation of Fleet Strategy :

  • Develop and design a robust strategy for the company’s fleet to meet the needs of a growing business, with a focus on cost reduction.
  • Review current and future business needs in relation to fleet requirements and fleet management, in consultation with internal stakeholders.
  • Develop external stakeholder relationships, notably with suppliers to facilitate procurement advantages.
  • Research and investigate industry trends and fleet management developments.
  • Facilitate in the delivery of new vehicles to regions.

Effective management of countrywide fleet procurement (in conjunction with Procurement Department)

  • Manage and review supplier and outsourcing arrangements, notably on SLAs, cost effectiveness and service delivery.
  • Manage internal fleet department effectiveness in relation to fleet management, reviewing reports, cost reduction and internal performance.
  • Source and prepare vehicle procurement requirements.
  • Negotiate and source best advantage fleet procurement, deals with automotive suppliers, branding suppliers and servicing/maintenance agreements.
  • Review risks and contract requirements of deals/agreements to ensure company risk is minimal and costs are limited.
  • Assist in RFP & Tender Processes.
  • Ensuring new vehicles are branded, tracking installed and specific accessories are fitted as per regions specifications.

Management, mitigation and control of Fleet costs and efficiencies :

  • Research and investigate developments in fleet management systems, and BI systems to provide effective and accurate data on fleet performance.
  • Review and Manage current fleet management systems and review effectiveness of reporting and BI data.
  • Research developments in vehicle and system technology, in order to improve fleet and vehicle effectiveness.
  • Review, audit and report on fleet costs, fuel usage and maintenance needs. Compile action plans and control mechanisms to address high costs and implement cost saving exercises.
  • Monitor with BI data vehicle effectiveness and fuel usage.
  • Liaise with operational management on driving training and poor driving behaviour, to address driver impact on fleet effectiveness and costs.
  • Review, manage and maintain vehicle database
  • Manage fuel card procedures and ordering requirements
  • Facilitate asset verification (physical)
  • Cancelling of surplus fuel cards
  • Monitoring and controlling of Head office miscellaneous fuel cards and allocating costs to relevant departments each month end
  • Investigate and report on Oil misuse.
  • Ensuring the tracking systems are de-installed and contracts cancelled (where necessary) when vehicles are terminated.
  • Investigate maintenance discrepancies between Avis and Regions.
  • Reviewing all vehicle inspections received from regions every month
  • Manage and control FML kilometres for fleet vehicles within reporting guidelines
  • Assess over vs under usage on mileage every 3 months and reallocate / rotate vehicles where possible.
  • Manage maintenance of owned vehicles
  • Manage mileage of owned vehicles and assess current mileage every 3 months in order to adjust depreciation
  • Manage Fines process and procedures
  • Re-direct fines as received
  • Investigate and report on excess maintenance spend
  • Monitor services due – liaise with regions
  • Assist regions with the obtaining of quotes for tenders
  • Approval and monitoring of daily rentals

Management of Fleet department and team :

Staff Development :

  • Succession Planning in place, updated and practiced.
  • Determine training needs for direct reports (in line with training and HR policy).
  • Arrange for attendance of subordinates at scheduled training interventions and coach staff as needed.

Leadership :

  • Set and maintain acceptable standards of behaviour at work by all subordinates employees, as required by G4S’s code of conduct and disciplinary code.
  • Ensure that all disciplinary actions are conducted in compliance with Company policies and procedures.
  • Hold Department Team meetings and communicate to all regional staff through those briefings.
  • Ensure continuous responsibilities in respect of  Health and Safety compliance and issues.

The Ideal Candidate:

  • Qualification in Logistics / Fleet Management 
  • 10 years solid experience in Fleet Management 
  • Procurement of fleet and negotiation of procurement deals
  • The management of a large fleet
  • The creation of and management of a budget
  • The management of staff
  • The development and implementation of a fleet strategy
  • The development and implementation of policies and procedure
